1. Who this policy covers

Effective September 7, 2026. This policy explains how Moments 360 handles information through moments360.co, our event booth app, share.moments360.co and optional guest video-delivery texts. For questions or requests, email info@moments360.co. Our Terms of Service include the messaging program’s consent, frequency and opt-out terms.

2. Information we handle

  • Event inquiries: Contact details, event date, venue or city, package preferences, guest counts and notes you choose to provide. The website form prepares a local email draft; it does not submit a booking to a server. We receive the inquiry when you send the email.
  • Event content: Recorded video and any captured audio, branded copies, client logos, frames, captions, event details and associated file information. Recordings are saved on the booth device and may be uploaded for sharing.
  • Text delivery: The mobile number you enter, your affirmative delivery request, the selected video and guest link, and delivery-related records described below.
  • Operator information: Authorized operator account information and authentication needed to upload and manage event content. Guests do not need an account to open a guest link.
  • Website and technical information: Browser/device information, page visits and interactions, IP/network information processed by infrastructure providers, and operational or security logs.

3. Why we use information

We use information to respond to event inquiries, arrange services, record and brand videos, upload and deliver requested content, provide support, diagnose failures, prevent misuse and duplicate texts, maintain consent and opt-out records, and meet applicable obligations. We use website analytics to understand visits and improve the site. A request for video delivery is not consent to promotional messaging.

4. Mobile numbers and messaging consent

We do not sell mobile numbers or SMS/MMS opt-in data. Mobile information, messaging consent and opt-in records are not shared with third parties or affiliates for their marketing or promotional purposes. We share only the information needed with service providers that help operate and deliver the program, such as Twilio and telecommunications carriers, or as necessary to comply with law or protect the service. Those operational disclosures do not authorize another party to market to you.

The booth app uses your number for the request and does not save it to the device’s persistent storage. The phone field is cleared when you leave the texting screen. The number is transmitted securely to our server and Twilio for delivery. Twilio and carriers necessarily process the recipient number, message, link, attachment and delivery information, and may retain them under their applicable retention practices.

Our delivery database stores a protected, one-way keyed representation of the recipient number rather than the plaintext number, together with the video and operator identifiers, consent version and request time, delivery status, provider message identifier and error information. This remains protected delivery data, not a claim that the record is anonymous. Application logging is designed not to record plaintext recipient numbers or message bodies.

Texts are optional. Each affirmative request is for one video-delivery message, not a recurring marketing program. Message and data rates may apply. 5. Who can access videos and other information

Authorized booth operators and event hosts may access event recordings to run the event and provide requested services. A guest link or QR code is password-free: anyone with it can access the associated video, including someone to whom it is forwarded. Avoid posting a link publicly unless you intend that access.

We use Supabase for cloud authentication, database and private file storage; Cloudflare for website hosting and delivery; Twilio and carriers for messaging; and Google Analytics for main-site usage measurement. Email providers process inquiries and support messages. These providers process information needed for their functions and may process it in the United States or other countries.

We may disclose information when required by law or reasonably necessary to address fraud, misuse, safety or security. Asking for a text does not grant advertising permission for your likeness. Event hosts may have separate privacy or media policies; ask the host about their own recording, use and sharing practices.

6. Cookies and website analytics

The main website uses Google Analytics 4, which may use cookies and similar technologies to measure page visits, device/browser information and site interactions. Our configuration disables Google signals and advertising-personalization signals and removes arbitrary query strings and fragments from analytics page URLs. Inquiry field contents are not intentionally sent as analytics events. Infrastructure providers may also use technical cookies and logs for operation and security.

You can manage or block cookies through your browser settings and use available browser privacy tools. Doing so may affect measurement or some site behavior. The guest sharing site does not currently include the main site’s Google Analytics tag. Its hosting, storage and security providers can still process technical access information.

7. Retention and security

Individual guest links normally expire 30 days after creation. Link expiration does not automatically delete the underlying videos. Local recordings, cloud files and delivery/consent records may remain after that period until removed. There is currently no automatic deletion schedule for these records. Retention depends on providing event services, support, security, consent/opt-out records and applicable obligations; contact us to request review or deletion.

Texting uses a separate smaller copy when possible. Temporary download access and link revocation do not recall media already downloaded, forwarded, cached by delivery providers or retained by an event host. Backups and provider records may persist after removal from active systems.

We use measures including encrypted connections, private cloud storage, operator authentication, restricted access and random guest links. No system can guarantee absolute security. Guest links intentionally allow access to their holders, so treat them as private unless you want the video shared more widely.

8. Your choices and requests

You may decline texting and use other available sharing options. You can ask us about access to your information, correction, deletion, or revoking a guest link by emailing info@moments360.co. Include enough information to identify the event and request, but do not send passwords or identity documents unless we arrange an appropriate verification method.

We may need to verify your authority and consider other participants’ rights, legal obligations, security and opt-out requirements. Available rights and exceptions depend on applicable law. We cannot delete copies independently retained by recipients or event hosts. Opting out of texts and requesting deletion are separate actions.

9. Children

Our website and guest texting program are not directed to children under 13. A parent or guardian should manage participation and delivery choices for a child; do not enter a child’s mobile number into the texting flow. If you believe we received a child’s information inappropriately, contact us so we can review it and take appropriate action.

10. Policy updates

Changes will be posted here with an updated effective date. A revised privacy policy does not by itself authorize a new use of messaging consent. Questions can be sent to info@moments360.co.
